The Process

A deployment, not a demo. We build it live.

From Discovery to Deployment Day, here’s exactly how we work. No black boxes. Just a clear path from your operation today to a fully running AI system on hardware at your office.

The Moment Everything Changes

There’s a moment we’ve seen happen over a dozen times now.

Most consulting firms walk in with a deck. We walk in with hardware.

By the time we arrive at your office on Deployment Day, your AI system has been built, tested, and configured to your operation. The mini-PC is sitting in a bag, ready to plug in. The first conversation between you and your agent has been waiting for you.

We call it the Hatching. It’s a deliberate part of how we deploy. Before the agent meets your team, we bring you alone to a workstation. We hand you the keyboard. The agent is staged but not yet awakened — it has no name, no knowledge of your business, nothing.

It asks you a question. You answer. Then another. You name it. You tell it what you want it to handle. From that moment forward, it knows you.

“It’s the moment a business owner stops being skeptical and starts being curious. We’ve watched it happen more than a dozen times. Same face. Every time. The OMG look as the possibilities start running through their head.”

We don’t roll the system out to staff first. The owner gets the moment, gets the experience, and then introduces it to their team. By the time staff sees it, the energy in the room has already changed.

This is intentional product design. The Hatching is how we make AI feel like a real addition to your operation — not another tool to learn.

The 5-Step Process

Custom on the inside. Disciplined throughout.

Every engagement follows the same disciplined sequence.

01
Step One

Discovery Call

A 60-minute video call to understand your operation. No pitch. No pressure. We listen to what’s slowing you down and tell you honestly whether AI is the right fix — and what it would take. If we’re not the right partner, we’ll tell you that too.

60 min · Video call No cost Phone or Zoom
02
Step Two

On-Site Discovery

We come to you. We walk your floor. We sit with your team. We watch how your business actually runs. We map the workflows that hurt, the systems that need to talk to each other, and the things AI should NOT touch.

This is where the build gets shaped. We tell you what we’d recommend you build first, what to skip, and what to revisit in six months. Honest scoping protects everyone.

Step Three

Build & Pre-Configuration

We build your custom AI system on dedicated hardware. We image the machine, install the agent platform, wire up the integrations, and test every connection from API endpoints back to your business logic.

By the time we walk into your office, every URL resolves. Every credential works. Your agent is staged and waiting — not yet awakened, because the first conversation happens with you in the room.

Step Four · Deployment Day

The Owner Hatching, Then Staff

This is the day the AI meets your business. We arrive on-site with the hardware ready. We find a permanent home for the PC — server closet, back office, somewhere ethernet-connected and out of the way. The technical setup happens quietly, off-stage.

Then we bring the owner in first. Always. The Hatching happens with you alone — you and your agent. You name it. You tell it about the business. You watch it come alive. By the time we introduce it to the team, you’re the one championing the change.

Each employee gets their own private Hatching with their own agent. We don’t rush it. The first conversation matters.

Step Five

Stay Accountable

Deployment Day is the start, not the finish. Monthly tuning. Quarterly reviews. Remote support when something needs fixing. On-site visits per your plan. When your software changes, your processes shift, or new employees come on board — we update the agent.

When something breaks, someone picks up the phone. The agent learns your business and stays with your business. We’re here for as long as the relationship works for both of us.

Deployment Day

What Deployment looks like.

A typical timeline for a smaller deployment. Larger and more complex builds run over multiple days or weeks — the structure stays the same, the scale changes.

8a

Arrival & Setup

Find the permanent home for the PC. Plug in ethernet, then power. Confirm Tailscale, test every URL from your office WiFi. The show hasn’t started yet.

10a

The Owner’s Hatching

Just the two of you. Hand them the keyboard. The agent asks for its name. Everything starts here.

12p

Owner-Led Tour

The owner walks us through what they want their agent to handle. We tune the configuration in real-time. The agent learns the priorities.

2p

Staff Rollout

Each employee gets their own private Hatching. They name their agent. The owner introduces it — not us.

5p

Live on Departure

Before we leave, every staff member has used their agent at least once. The system is live. The 30-day monitoring window starts. We’re a phone call away.

Honest Answer

What happens when it gets it wrong?

Because AI sometimes does. Here’s how we handle it — before, during, and after it happens.

During Build

We test for failure modes

Before your agent ever speaks to your team, we run it through every realistic failure scenario we can think of. Ambiguous text. Wrong context. Edge cases your team will hit in real life. We tune the agent to ask for clarification before doing the wrong thing.

First 30 Days

Active monitoring window

For the first 30 days post go-live, we watch your agent’s behavior daily. If we see a misfire pattern emerging, we catch it and tune it out before it becomes a problem. This window is included with every tier.

Ongoing

Remote fix, fast

When something needs correcting, we remote into your hardware and fix it. No ticket queue. No waiting for a field tech. For critical issues, on-site visits happen per your plan. Monthly tuning is included in your retainer.

A Real Example

What it looks like in practice

A staff member texts: “Smith job done, customer happy, billed wrong amount.” The agent updates the CRM, closes the job — but pauses on the invoice because the amount conflicts with the original quote. It flags the discrepancy to the owner and the team instead of pushing through.

That’s by design. The agent is trained to ask for clarification, not to guess. Every workflow has explicit escalation rules. Every action has an audit trail. If something does go through wrong, we can review it, correct the underlying logic, and re-run the affected records — without your team having to clean it up by hand.

We don’t promise AI is perfect. We promise we’re accountable when it isn’t. There’s a human at the other end of the phone, and that human knows your system.

Our Standard

What you can count on, every time.

On-Premises First

Your data stays on your network

The hardware running your AI sits in your building. Your operational data never leaves. If we walked away tomorrow, the system still runs.

Owner-Led Adoption

The owner uses it first

Every deployment starts with the owner experiencing the agent before staff sees it. Their reaction primes the entire team.

Custom, Not Template

Built for your operation

We don’t configure a SaaS for you. We build a custom AI system around your specific workflow, your software stack, your team.

Real Accountability

Someone picks up the phone

When something breaks, you call a person who knows your system. Monthly tuning included. Quarterly reviews keep us honest.
